Begin with a working slice
Select a portfolio or workstream with a clear owner and an observable problem. Agree the information needed for one useful workflow and where authoritative records live. Avoid making a full tool migration a prerequisite for learning. The first evaluation should show whether the operating approach helps, while keeping the scope small enough to inspect and correct.
Treat integration as an agreement
For each connection, establish which system owns the record, what is read or written, how identity and permissions apply, and how failures are handled. A connector name is not proof that all workflows are supported. Confirm availability, direction of synchronization, supported objects, and deployment requirements for the actual environment before committing to an implementation.
Define the control boundary
Identify who can access sources, run assistance, approve changes, and administer the workspace. Confirm how sensitive material is handled and what evidence is retained. Hosting arrangements, identity integration, and model-provider choices should be verified as part of the proposed scope. A marketing statement about control is not a substitute for reviewing the configured behavior.
Measure the cost of useful work
Track the cost of the workflow, including setup, model usage where applicable, human review, and maintenance. Compare that cost with the time or quality improvement achieved. A low cost per generated response can still be poor value if reviewers spend substantial effort correcting it. Establish usage ownership and a response to unexpected volume before expanding access.
Expand after a review
Review outcomes and unresolved limitations with the receiving team. Decide whether to add another workflow, improve the source data, or stop.
